FAQ

This page will gradually be filled with answers to important questions that the Examination Office regularly receives.

Submission of documents

In which language may documents be submitted?

According to § 82a of the General Administrative Law for the State of Schleswig-Holstein (Landesverwaltungsgesetz, LVwG), the official language of the University is German. We therefore accept applications and related documents in German. We also allow you to submit applications as well as supporting documents in English. If you do not have documents in German or English, but only in another language, you must submit a translation in addition to the actual document. In justified cases, a certified translation is required or a translation prepared by a publicly appointed or sworn person.

Registering for examinations

For which exams a registration is necessary?

During the registration periods you register on the one hand for participation in written and oral examinations. On the other hand, please also register for the examinations in laboratory courses, projects and seminars that take place during the semester if you are taking such a module in the current semester.

Registration for the examination in laboratory courses, projects and seminars does not replace the registration for participation in the module, if required. For some modules, a separate registration for participation is necessary before the start of the course, e.g. if there are only a limited number of places available. For these modules, information on the registration procedure is noted in the corresponding UnivIS entry.

Registration for block courses

If a block course is offered, registration for the respective examination is possible during the registration period associated with the semester.

If the block course takes place after the registration period, registration for the examination is also possible during the block course. Registration then takes place via the lecturer.

Elective modules

Completion of additional elective modules

If you would like to complete additional elective modules, i.e. more elective modules than are required for your degree, you can partially choose which ones will be included in your degree and thus named in your degree certificate.

Please take into account the regulations stated in your examination regulations regarding the choice of additional elective modules.

Is it necessary to register for the industrial internship?

Registration is required for the industrial internship. For this purpose, fill out the corresponding respective registration form (in German) and submit it to the Examination Office for Electrical and Information Engineering.

How should the internship report be structured?

The internship report must contain a well-formulated documentation in essay form (work report), tabular weekly overviews (weekly reports) and a certificate from the employer. Work and weekly reports must be signed off by the supervisor. It is sufficient that the reports are signed once collectively after completion of the internship.

The work report should provide factual information about the work performed by the student and be structured according to projects. The report should be limited in its presentation to the context necessary for the work presented. Detailed measurement results, for example, are not required. A narrative from the first-person perspective is possible.

For a practice of 10 weeks, the report - including sketches, schematics, etc. - should be about 10-20 pages long. Figures should be limited to a meaningful depiction of activity. Illustrative photos or brochures are not permitted. More detailed information on the report can be found in the subject examination regulations.

In the weekly reports, the work carried out each day is to be stated in tabular form in key words, stating the duration as well as the total daily working time.

Where do I submit my internship report?

Please submit your complete report (transcript, tabular and detailed report with supervisor's signature) digitally by e-mail to the Examination Office.

Please make sure that all documents are complete, otherwise processing is unfortunately not possible. The requirements can be found in the appendix "Industrial internship" of your examination regulations.

How long does it take to process my internship report?

Please allow approximately two weeks for processing.

Theses

Employment of students as assistants during their thesis work

The maximum permitted weekly working time is 48 hours. Since final theses are worked on full-time (38.7 hours), students are allowed to work a maximum of 9.3 hours per week as an assistant in addition to their final thesis.

What are the guidelines for external theses?

In the case of external theses, the Department of Electrical and Information Engineering follows the Guidelines for the conduct of "external" theses (in German), issued by the Fakultätentag für Elektrotechnik und Informationstechnik e.V..

University closure during the thesis

Please plan your thesis so that you can work at home on days when the University is closed. For reasons of equal treatment, an extension of the processing time of a thesis for the duration of the university closure can only be approved in justified exceptional cases. An appropriate application - together with a declaration signed by the supervisor - is to be sent to the responsible chairperson of the examination board.

What is the statement that every thesis must contain?

Theses written in German must include the following declaration:

Theses written in English must include the following declaration:
Declaration

I declare that I have produced the Bachelor’s thesis / Master’s thesis "Title of thesis" independently and without improper external assistance and that I have identified all word-for-word quotations of other authors, as well as comments based closely on other authors’ ideas, and I have listed the relevant sources.

I am aware that, unless agreed otherwise, the Bachelor’s thesis / Master’s thesis produced under supervision represents a group achievement and forms part of the overall research of the supervising institution. As a result, none of the co-authors (e.g. authors of text, creative project staff, co-supervisors) may use passages from the thesis for commercial purposes or make them accessible to third parties without the (written) approval of all those involved due to reasons of copyright. Particular note must be taken of the Arbeitnehmererfindergesetz (German Employee Invention Act), according to which pre-publication of patent-related content is prohibited.

How long must the summary included in a thesis be?

If, according to the examination regulations for the Bachelor's and Master's degree programs in lectrical and Information Engineering as well as Electrical Engineering and Business Administration, a summary must be included, it should be approximately one A4 page in length.

Where do theses need to be submitted?

According to Section 11 Paragraph 6 of the Examination Procedure Regulations (PVO), final theses must be submitted to the responsible Examination Office in due time.

Outside the office hours of the Examination Office, it is possible to hand in the thesis in an envelope addressed to the Examination Office at the TF gate or in the deadline mailbox at the CAU administration building at the side entrance on the left (on the side of the entrance to the Post Office of CAU), which is for all deadline-bound students matters. The deadline mailbox contains two compartments that are automatically switched at midnight. The Post Office of CAU empties this deadline mailbox every day on weekdays. The in-house forwarding takes place via in-house mail. As soon as the deadline mailbox has been put into operation, delivery to the main gate is no longer possible or is only possible in exceptional cases (e.g. if the mailbox slot is too small for the documents).

The thesis can also be sent to the Examination Office by mail. In any case, an entry stamp or postmark is necessary to document that the item has been submitted on time. We therefore recommend a shipping method with proof of postage when sending by post.

It is also permissible to submit the thesis to the supervising chair. However, it must be ensured that the work or corresponding evidence to document timely submission is forwarded immediately to the Examination Office.

How many copies of the thesis must be submitted?

Each thesis must be submitted to the Examinations Office in two printed copies as well as on a medium suitable for electronic data processing. The medium remains in the examination office.

In addition, the  declaration (in writing = original form with original signature)  must be enclosed that the printed copies correspond to the digital version.

How long will it take to issue certificates?

According to § 20 Para. 1 of the Examination Procedure Regulations (PVO), graduates will receive their degree certificate no later than four weeks after the overall grade has been determined.

Please note that the overall grade can only be determined when the Examination Office has received the result of the last successfully completed examination that is still missing.

If the last achievement is the Bachelor's or Master's thesis, the examiners at the Department of Electrical and Information Engineering have up to six weeks to evaluate the final thesis. In this case, graduates must therefore allow for a period of up to two and a half months after submitting their thesis until they receive their degree certificate and the associated documents.

If the last remaining achievement is a module examination, we recommend that you inform the Examinations Office as soon as the assessment has been made. Then the Examination Office can prepare the certificate documents more quickly than if you wait for the end of the assessment period belonging to the examination period.

When does the graduating cermony takes place?

The following regulations apply to graduates of the Bachelor's and Master's degree programs in Electrical and Information Engineering as well as Electrical Engineering and Business Administration:

The farewell ceremony for graduates takes place in November of each year. All students whose graduation is determined by 31.10. of the respective year are invited.

Transcripts of Records

How do I request a transcript of records?

Transcript of records can be requested by e-mail (please use your stu-Account), by phone or in person during the opening hours of the Examination Office.

You will receive the transcript of records as a PDF to your stu-Account. Final transcript of records are an exception. These are usually issued together with the degree certificate.

How long does it take to receive a transcript of records?

Please allow approximately three working days until you receive your transcript of records.

BAföG

Where can I get information on student support (BAföG) applications?

Information about the BAföG-representatives of the Faculty of Engineering and links to the websites of the BAföG-Office of the Studentenwerk Schleswig-Holstein and the Federal Ministry of Education and Research can be found on the central website of the Faculty of Engineering on the subject of student support (BAföG).

Information from the Department of Electrical and Information Engineering on the subject of student support (BAföG) - such as the ECTS thresholds that must be reached in order to certify that achieved results are within the usual range - can be found on the BAföG website of the Institute.

How do I obtain a certificate of achievement for a BAföG (Student Financial Assistance Programme) application?

If you require a certificate of academic achievement for the BAföG Office’s “Form 5”, please inform the Examination Office.

On achieving the required number of ECTS credits for a positive certificate, you will receive an e-mail when the form can be collected.

If a positive certificate cannot be issued immediately due to certain requirements not being met, you will receive an e-mail asking you for further details. Then – by your request – an individual review will be carried out determining whether or not a positive certificate can be issued and this will be produced accordingly.

You will receive e-mail notification when the form can be collected from the Examination Office. If you are unable to collect your form yourself, this may be done by a third party. Please note that we are only able to issue your document to a person instructed by you to collect it, if you provide that person with appropriate written authorisation and a copy of some form of signed photo identification (e.g. ID card) for the purpose of signature comparison.

Changing degree programmes

How do I apply for recognition of study and examination achievements?

Please submit your completed application for recognition of study and examination achievements to the Examination Office together with the evidence of achievements already provided as specified on the application form. Your application will then be forwarded internally.

If your application is approved and all of your listed study and examination achievements are recognized, you will be informed of this by email. If not all of the study and examination achievements listed by you can be recognized, you will receive a legally valid written notification of this. Your achievements will be entered into the examination administration system by the Examination Office as soon as possible.

Please note that recognition is granted ex officio. This means that study and examination achievements for which you have not applied for recognition but which can be recognized for your degree program will also be recognized.

Please allow at least two weeks for the processing of your application.
